Setting up your Scanner

The new LinnWorks mobile software for handheld scan devices allows you to manage inventory from the warehouse. The core functionality of the handheld application includes, stock count, stock in, purchase order goods in and stock enquiry.

First you will need a scan gun that meets these necessary requirements:

1. Running Windows Mobile 5

2. Has a constant wireless internet connection

3. Has a version of Wavelink Emulator Telnet installed. With WEB adapter.

4. Have Linnworks Anywhere with API access (Standard, PRO or Enterprise package)

 

Some Windows CE mobile scan guns come with Telnet CE already installed. If your device does not have Telnet CE installed, you will need to download this software before continuing.

Note: The application was written and tested on Motorola MC3190 Scan gun with Windows CE 5.0 running WaveLink Telnet CE Version 7.0.x. Therefore we recommend this device.

 

First, you will need to obtain a Mobile API Token that is associated with your LinnWorks account. You can obtain a new mobile API Token from your account management page at https://acc.linnworks.com 

Once navigated to your account page, go to LinnWorks Anywhere Control Panel. Here, you can create either a simple or a complex Token to be used for the Mobile Application. 

 

Simple Token is short and is most suitable for mobile application.

After you have a mobile API Token linked to your LinnWorks account, you will need to create a new profile within Telnet CE on your scanning device. To do this, start Telnet on your device and choose

 Options > Configure > Host Profiles

To create a new profile, click Add on the ‘Edit Host Profile’ window. First you will need to change the Emulator to ‘WEB’, and then simply give your new profile a name. 

 

In the Address field, you will need to enter the URL for the LinnWorks Mobile Scanner application followed by your unique Mobile API Token. The format for this address is as follows:

Note that the Token that you created earlier is not case sensitive.

To load your new profile and activate the scanning feature, within Telnet CE, go to

Options > Start Session 1 > Then Choose your newly created profile

This will take you to the Default LinnWorks Mobile Screen

How to manage a stock count

To use a Scanner to process a stock count, you must first have open stock count in Linnworks. See http://www.linnworks.com/Doc/Stock_Count

Once you have a new stock count open, you can click the ‘Stock Count’ Button on the menu for LinnWorks Mobile on your scanning device to get started.

When using the stock count feature you will be shown this screen

When you scan an item, its details will be displayed on the screen. Refreshing your Stock Count page in LinnWorks will show you all the items you have scanned and counted. 

By pressing the ‘Amount Scanned’ Indicator, you can toggle the system to add more than just one of the same products the next time it is scanned. 

Items you have scanned will be logged in your new stock count in LinnWorks. Simply refresh the stock count screen in LinnWorks to see what stock has been counted by the scanner.

You can also add a new item not originally part of your stock count by scanning it. The scanner will then ask if you would like to add the new item to your stock count.

How to Add Stock to your Inventory

When wanting to use your scanning device to add stock, you can use the ‘Stock In’ feature to scan an item into your inventory in LinnWorks. Functionality this screen performs the same functions as Stock In screen in Linnworks http://www.linnworks.com/Doc/reorder_low_stock_and_stock_in. However here you cannot strike an item off the related purchase order.

To do this, click the ‘Stock In’ button and start scanning items to add stock. You can also add new items to your inventory this way.

Unlike using the ‘Stock Count’ feature, you do not have to have LinnWorks running to add stock. LinnWorks will update its quantity based on what you have scanned when you next open LinnWorks.

 

How to Manage Purchase Orders

You can use your scanner to mark products as delivered per purchase orders. To do this, you must first make sure that the purchase order is either set to Open or Partially Ordered. You cannot scan products in for Purchase Order if it is Pending or Delivered.

This feature is used to log any new stock that has just been delivered to you by a supplier. To do this, first click the ‘Stock In – Purchase Orders’ Button from the main application menu.

Here you will see a list of all your purchase orders currently open or partially delivered. As you can see, the scanner lists each Purchase Order using their PO# from LinnWorks.

Scanning a product will mark it as delivered and change the status of the Purchase Order from Open to Partially Delivered. Once all the products in the Purchase Order have been scanned, LinnWorks will change the status of the Purchase Order to Delivered. 

How to make a Stock Enquiry

You can view details of an item in your inventory by scanning it. Simply click the ‘Stock Enquiry’ button from the main menu and scan an item. A Stock Enquiry can display the products Name, barcode number, location, quantity, orders and stock due.

Using the Scanner when you are not in range of your wireless connection

If you walk your scanner too far away from your WI-FI connection it will no longer be able to submit information to LinnWorks in real time. When scanning products while not connected to the internet, LinnWorks Mobile will log all the items you have scanned into a queue. The queue will be cleared upon reaching a wireless connectivity spot. The queue clearance is triggered by another scan. Also note that most devices will prevent you from scanning barcodes if the device is out of network range.

To initialise those queued scans make sure you are connected to the internet and the queue will be initialised after the next successful scan.

Scanner Specific Barcodes

You can add an extended property of SCAN_BARCODE to an inventory item. This will instruct the scanner to look through all your items and pick the item with the Extended Property thats value maches the scanned code.
